Privacy Policy

This Privacy Policy explains how The Influence Company ("we", "us") collects, uses, and protects information when you use realtimeavatar.ai (the "Service"). We aim to collect only what we need to run the Service well.

Information we collect

• Account data — your name, email, and workspace details when you sign up.
• Content you provide — portraits, audio, video clips, prompts, and persona settings you submit to create or run avatars.
• Usage data — realtime minutes, turns, renders, API requests, and diagnostic logs used for billing, security, and reliability.
• Payment data — handled by our payment processors (Autumn and Stripe); we do not store full card numbers.

How we use information

• to operate the Service — generate avatars, render video, stream realtime turns, and meter usage;
• to authenticate accounts, enforce limits, prevent abuse, and secure the platform;
• to bill for usage and provide support;
• to improve reliability and performance. We do not sell your personal data, and we do not train foundation models on your private content without your consent.

How we share information

We share data only with service providers that help us run the Service — for example cloud hosting (Cloudflare), GPU compute (RunPod), generation providers (fal), voice services, and billing (Autumn, Stripe) — under agreements that limit their use of it. Separately, and only with your permission, we share limited conversion measurements with the advertising platforms described under Advertising below. We may disclose information if required by law or to protect rights and safety.

Data retention

Generated and uploaded media is stored to operate your avatars and renders and is retained while your account is active. You can delete avatars and renders, and you can request deletion of your account data, subject to records we must keep for legal or billing reasons.

RTA request diagnostics and normalized operational events expire after seven days and are removed by platform cleanup. Private session diagnostic logs may include conversation text and are subject to a 30-day storage lifecycle; this is separate from optional transcript-webhook delivery and audio/video recording. Session admission, metering, and billing records are separate: they currently have no automatic maximum retention configured and are retained while the account is maintained, subject to necessary security, legal, and accounting records. Provider retention follows the applicable service arrangements. These periods are separate from the short-lived Practice integration state described below.

Realtime Avatar Practice and ChatGPT

The Influence Company also operates the standalone Realtime Avatar Practice technical review. This section applies specifically to that experience, including its ChatGPT integration; it does not change retention for other RTA products. The published Practice privacy notice provides the experience-specific details and governs Practice where it differs from this general policy.

Practice processes your selected scenario, temporary connection and practice-plan identifiers, session status, and media credentials needed to connect. Typed messages and optional microphone audio pass through RTA's live media service to generate replies. The integration does not receive the full ChatGPT conversation, collect names or email addresses, or accept file uploads. Camera streaming and RTA call recording are disabled; the integration does not request transcript webhooks or archive conversations.

Cloudflare hosts the interface and temporary state. RTA and its active media, speech-recognition, speech-generation, and language-model providers process the conversation to supply the call. ChatGPT/OpenAI receives the tool arguments and results it exchanges with the integration and a completion message only if you choose to send it. RTA API keys and live media credentials are not included in model-visible tool content.

• Temporary integration state: connection records and practice plans expire one hour after creation. Expired records cannot be accessed and are deleted on the next scheduled cleanup, normally within one minute. Connection termination deletes that connection's plans.
• Live media credentials: removed when you end the call or when safety cleanup runs, at most 150 seconds after a call attempt begins plus the next cleanup interval. Cleanup failures can delay physical deletion; expired records remain inaccessible.
• Review limits and logs: the shared call counter contains no conversation or user identity and remains for the review's lifetime. Worker request logging and sampling are disabled for this review.
• Underlying service records: RTA diagnostics, session admission, metering, billing, and provider records follow the separate retention described above. The one-hour limit does not apply to these records or to ChatGPT's conversation history. Disconnecting does not delete data from all systems.

You can leave microphone access off, type replies, end a call, revoke browser permissions, or disconnect the integration. Contact privacy@realtimeavatar.ai for access, correction, or deletion requests and applicable provider details. No advertising pixel is included in the hosted Practice interface. Published technical test recordings use developer-authored samples; user calls are not published or recorded by this integration.

Security

We use encryption in transit, scoped API keys, rate limiting, and access controls to protect your data. No system is perfectly secure, but we work to protect your information and respond promptly to incidents.

Your rights

Depending on your location, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. Contact us to exercise these rights.

Cookies and local storage

We use essential cookies to keep you signed in and to operate the Service. We also store a first-party analytics identifier and, when you arrive from a link we advertised, the campaign tags on that link — both in your browser's local storage, both readable only by us.

Advertising

We advertise the Service on third-party platforms, currently Reddit. If you arrive from one of those ads, the link carries a click identifier that we keep so we can tell which campaigns bring people who find the Service useful.

With your permission we also load Reddit's advertising pixel, and we report conversions — such as creating an account or starting a subscription — back to Reddit from our servers. Those reports identify you to Reddit by the click identifier from your ad link and, where we have one, a cryptographic hash of your email address; we do not send Reddit your email address itself, your content, or your prompts. Reddit uses this to measure and target its own advertising, and its handling is governed by Reddit's privacy policy.

You choose. We ask before loading the advertising pixel, and declining leaves the Service fully functional — nothing is withheld. You can change your answer at any time by clearing this site's data in your browser, and we will ask again on your next visit. First-party analytics described above is not part of this choice; it is how we operate and secure the Service.

Children

Developer accounts and the general RTA platform are intended for adults under our Terms of Service. Standalone Practice is intended for users aged 13 and over, subject to a higher local minimum age and parent or guardian permission for users under 18. Practice is not directed to children under 13, and we do not knowingly collect their personal data. If you believe a child under the applicable minimum age has provided personal data, contact privacy@realtimeavatar.ai so we can investigate and arrange deletion.

We may update this policy; material changes will be posted here with an updated date.
